Step-by-step guide to creating, checking, and sending an invoice by email, including a payment link and recurring invoices.
Go to Invoices and select 'New invoice'.
Choose an existing client or create a new one directly.
Add lines: description, quantity, price, and VAT rate.
Check the invoice date, invoice number, and payment term.
Save as a draft, or send directly.
The invoice number automatically follows in a consecutive series. This is a requirement from the Dutch tax authorities (Belastingdienst); therefore, do not skip any numbers.
Your company name, address, Chamber of Commerce (KvK) number, and VAT identification number.
Name and address of your client.
A unique, consecutive invoice number and the invoice date.
Description and quantity of what you have supplied.
The amount excluding VAT, the VAT rate, the VAT amount, and the total.
When sending, the invoice is included as a PDF in the email. You can add a payment link so your client can pay with iDEAL; the payment will then be automatically linked to the invoice.
If a client does not pay on time, automatic reminders will be sent on the days you set. You can see outstanding invoices on the dashboard.
For fixed amounts per month or quarter, set up a recurring invoice. You determine the start date, frequency, and whether the invoice is sent automatically or first awaits as a draft.
Can I still modify a sent invoice?
You cannot modify a sent invoice. Create a credit note and then send a new, correct invoice. This ensures your numbering and VAT administration remain accurate.
How do I send an invoice without VAT?
Choose the 0% rate or 'reverse-charge VAT' on the line item. For the Small Business Scheme (KOR) or for deliveries within the EU, InvoiceHippo automatically adds the corresponding remark to the invoice.
