Match bank transactions to invoices and expenses, process partial payments, and resolve common discrepancies.
Every transaction must be allocated: to a sales invoice, an expense, a private withdrawal, or a transfer between your own accounts. As long as a transaction has not been matched, it remains in the work queue.
Go to Banking and open the account.
InvoiceHippo suggests a match for each transaction based on amount, reference, and customer name.
If the suggestion is correct, confirm it. Otherwise, manually search for the correct invoice or expense.
If there is no invoice, book the transaction directly to a category or mark it as private.
Partial payment: link the received amount to the invoice; the remainder will remain outstanding.
One payment for multiple invoices: split the transaction across the invoices.
Payment with deductions (e.g., via a platform): link the net amount and book the difference as an expense.
Transfer between your own accounts: mark as an internal transfer, so it is not counted as revenue or expense.
Do not leave transactions unmatched until just before your tax return. Ten minutes of matching weekly will save hours of searching per quarter.
I can't place a transaction. What now?
Leave it in the work queue and add a note. This makes it clear that it's outstanding and allows you to add the receipt or invoice later without cluttering your administration.
